Generative AI Use Policy

1. Policy Statement

J-EBI (Jurnal Ekonomi dan Bisnis Islam), published by Institut Agama Islam Sufyan Tsauri Majenang (INSIMA), recognizes that generative artificial intelligence (AI) tools can support academic writing, language improvement, data processing, and other research activities. However, the use of such tools must comply with the principles of academic integrity, transparency, accountability, and responsible research.

This policy establishes guidelines for the appropriate use and disclosure of generative AI tools in manuscripts submitted to or published by J-EBI. The policy applies to authors, reviewers, editors, and other individuals involved in the journal's publication process.

AI tools may assist scholarly work, but they cannot replace human intellectual responsibility, critical judgment, or accountability for the accuracy and integrity of published research.

2. Use of AI by Authors

Authors may use generative AI tools to support certain aspects of manuscript preparation and research, provided that their use is appropriate, transparent, and consistent with research ethics.

Permitted uses may include:

  • Improving grammar, spelling, readability, and academic language.

  • Translating text or assisting with language editing.

  • Organizing ideas, outlining manuscripts, or improving the clarity of explanations.

  • Supporting coding, data processing, or analytical workflows when appropriate and transparently reported.

  • Assisting with literature exploration, provided that all sources and references are independently verified.

  • Supporting the preparation of tables, figures, or other research materials, provided that their accuracy, provenance, and compliance with relevant rights and ethical requirements are verified.

Authors remain fully responsible for the manuscript, including its originality, factual accuracy, citations, research methods, data, analysis, interpretations, and conclusions.

3. Prohibited and Unacceptable Uses

The use of generative AI must not compromise research integrity or misrepresent the nature of the scholarly work. The following practices are prohibited:

  1. Fabrication or Falsification: Using AI to invent or manipulate research data, results, observations, or evidence and presenting them as genuine.

  2. False References: Including fabricated, inaccurate, or unverifiable citations or bibliographic information.

  3. Plagiarism and Misappropriation: Using AI-generated or AI-transformed material to conceal plagiarism or misrepresent another person's work as one's own.

  4. Misrepresentation of Research: Presenting AI-generated analysis, interpretations, or conclusions as verified findings without appropriate human evaluation.

  5. Undisclosed Substantive Use: Failing to disclose AI use when disclosure is required under this policy.

  6. Inappropriate Authorship: Listing an AI system as an author or co-author.

  7. Confidentiality Violations: Uploading confidential manuscripts, unpublished research, personal data, or other restricted materials to AI services without appropriate authorization and safeguards.

  8. Ethical or Legal Violations: Using AI in ways that violate research ethics, copyright, privacy, data protection, or other applicable requirements.

Authors must not rely on AI-generated content without checking its accuracy, relevance, and appropriateness for scholarly publication.

4. Disclosure of AI Use

Authors must disclose the use of generative AI tools when those tools have made a substantive contribution to the research or manuscript preparation, in accordance with this policy.

The disclosure should identify:

  • The name of the AI tool or system used.

  • The purpose and scope of its use.

  • The sections or research activities in which it was used, where relevant.

  • The extent to which AI-generated or AI-assisted outputs were reviewed, verified, or modified by the authors.

Disclosure should be placed in a separate section entitled “Declaration of Generative AI Use” before the references or in another location specified by the journal.

For basic spelling, grammar, punctuation, or language polishing that does not materially affect the intellectual content of a manuscript, disclosure may not be required unless the journal's submission instructions state otherwise. Authors should disclose more substantive uses, including AI-assisted analysis, content generation, or interpretation.

Suggested Disclosure Statement

Authors may adapt the following statement to reflect their actual use of AI:

“During the preparation of this manuscript, the authors used [name of AI tool] for [specific purpose]. The authors reviewed and verified the generated outputs and take full responsibility for the accuracy, originality, interpretation, and integrity of the published content.”

If no generative AI tools were used, authors may state:

“The authors did not use generative artificial intelligence tools in the preparation of this manuscript.”

Authors must ensure that their disclosure accurately describes the tools and activities involved.

5. AI and Authorship

Generative AI tools cannot be listed as authors or co-authors of manuscripts submitted to J-EBI. Authorship requires intellectual contribution, approval of the final manuscript, and accountability for the work, responsibilities that cannot be assigned to an AI system.

All listed authors must meet the journal's authorship criteria and accept responsibility for the integrity of the manuscript, including any AI-assisted content incorporated into it.

6. Verification of AI-Generated Content

Authors are responsible for carefully reviewing all AI-assisted or AI-generated material included in their manuscripts. This responsibility includes:

  • Verifying the accuracy of factual statements and research claims.

  • Checking the existence, accuracy, and relevance of all references.

  • Ensuring that quotations and paraphrases accurately represent their sources.

  • Validating any AI-assisted calculations, code, data processing, or analytical outputs.

  • Confirming that conclusions are supported by the research evidence.

  • Ensuring that the use of AI does not violate copyright, confidentiality, or research ethics.

AI-generated content may contain errors, fabricated references, bias, or misleading interpretations. The use of an AI tool does not remove the authors' responsibility for such problems.

7. Use of AI by Reviewers

Reviewers must protect the confidentiality and integrity of the peer-review process. They must not upload unpublished manuscripts, review reports, or confidential editorial communications to external AI tools unless the journal has expressly authorized the practice and appropriate confidentiality and data-protection safeguards are in place.

Reviewers must not delegate the substantive evaluation of a manuscript to generative AI in a manner that compromises independent scholarly judgment or confidentiality. Reviewers remain responsible for the originality, accuracy, fairness, and professionalism of their assessments.

Any AI use permitted in the review process must comply with the journal's instructions and applicable confidentiality requirements.

8. Use of AI by Editors

Editors may use appropriate technological tools to support administrative or editorial tasks, provided that their use does not compromise confidentiality, impartiality, or editorial independence.

Editors must not disclose confidential manuscript content or editorial communications to unauthorized AI services. AI-generated recommendations must not replace editorial judgment, and final decisions concerning peer review, acceptance, rejection, corrections, or retractions remain the responsibility of the designated human editor.

Editors must also ensure that allegations of AI misuse are assessed fairly and on the basis of relevant evidence.

9. AI Detection and Editorial Assessment

J-EBI may examine suspected inappropriate AI use when credible concerns arise during editorial screening, peer review, or after publication.

AI-detection tools, if used, will be treated as supplementary indicators rather than definitive proof of misconduct. The journal recognizes that automated detection systems can produce false positives and false negatives.

Editorial decisions will therefore consider the available evidence, the authors' disclosures and explanations, the manuscript's content, and any relevant research records. A manuscript will not be considered unethical solely because an AI-detection tool indicates that AI may have been used.

Where concerns are substantiated, the journal may request clarification, require corrections or additional disclosures, reject the manuscript, or take post-publication action in accordance with its publication ethics policies.

10. Research Data, Privacy, and Intellectual Property

Authors, reviewers, and editors must exercise caution when using AI tools that process research data, unpublished manuscripts, personal information, or copyrighted materials.

Users must ensure that they have the necessary authorization to submit materials to an AI service and must comply with applicable privacy, data-protection, confidentiality, and intellectual-property requirements.

AI-generated figures, images, tables, code, and other materials must be checked for accuracy and suitability. Authors must obtain permissions where required and disclose relevant AI assistance when it materially contributes to the published work.

11. Violations and Editorial Actions

Failure to comply with this policy may be treated as a breach of publication ethics. Depending on the seriousness of the violation and the stage of publication, J-EBI may:

  • Request clarification or a corrected AI-use declaration.

  • Require revision of inaccurate or improperly disclosed content.

  • Reject a manuscript before publication.

  • Suspend editorial processing while concerns are investigated.

  • Publish a correction or expression of concern when appropriate.

  • Retract a published article when serious violations undermine its reliability or ethical legitimacy.

  • Refer substantiated cases to the authors' affiliated institution or another appropriate authority where warranted.

All cases will be assessed individually, with due regard for evidence, proportionality, confidentiality, and the opportunity for relevant parties to respond.

12. Policy Review

J-EBI may update this policy as generative AI technologies, research practices, and publication ethics standards evolve. Authors, reviewers, and editors are expected to comply with the version applicable to their manuscript or editorial activity.

This policy should be read alongside J-EBI's Publication Ethics and Malpractice Statement, Plagiarism Policy, Authorship Criteria, Peer Review Process, and Allegation of Research Misconduct Policy.
